Refund and Cancellation Policy

At Westwood Exhibits, we design, fabricate, and install custom exhibition stalls tailored to each client's specific requirements, show schedule, and venue. Because our work is bespoke and time-bound to fixed exhibition dates, this Refund and Cancellation Policy is put in place to ensure clarity and fairness for both parties.

1. Booking Confirmation

A project is considered confirmed only upon:

  • Written acceptance of the Proforma Invoice/Quotation, and

  • Receipt of the advance payment amount specified in the respective Proforma Invoice (advance percentage varies by project scope, timeline, and materials required, and is clearly stated in each Proforma Invoice issued to the client).

2. Cancellation Policy
  • Before design work commences: If a client cancels a confirmed booking before any design or fabrication work has begun, Westwood Exhibits will assess the request and may deduct applicable administrative/processing costs already incurred before refunding the remaining advance.

  • After design/fabrication has commenced: Once design development, material procurement, or fabrication work has commenced on a project, the advance payment becomes non-refundable. This is because resources, materials, labor, and production slots are allocated and committed specifically to the client's project and exhibition timeline, and cannot be reallocated once work is underway.

  • Cancellations close to the show date: Given the fixed, non-negotiable deadlines associated with exhibition move-in dates, cancellations made close to the show date may result in full forfeiture of amounts paid, regardless of the stage of work, due to the inability to recover committed costs (materials, vendor bookings, labor, venue coordination) within the compressed timeline.

3. Refund Process (Where Applicable)

Where a refund is deemed applicable under this policy:

  • Refund requests must be submitted in writing to build@westwoodexhibits.com

  • Approved refunds will be processed to the original mode of payment within 15–21 business days

  • Any bank/payment gateway transaction charges will be deducted from the refunded amount

4. Changes to Project Scope

Refunds are not applicable for scope changes requested by the client mid-project (e.g., design revisions, size changes, additional elements). Such changes will be quoted and invoiced separately as per the revised scope.

5. Force Majeure

Westwood Exhibits shall not be liable for delays or inability to perform due to circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, venue-related issues, or exhibition postponement/cancellation by the show organizer. In such cases, refund or rescheduling will be handled on a case-by-case basis, factoring in costs already incurred.

6. Damaged, Defective, or Non-Conforming Work

If the delivered stall materially deviates from the approved design (via our Design Approval Form) due to an error on our part, Westwood Exhibits will rectify the issue at no additional cost. This clause does not apply to changes arising from client-approved design modifications or client-caused delays.

This policy is governed by and subject to the Terms and Conditions of Westwood Exhibits, and disputes shall be subject to the jurisdiction of courts in Gautam Buddh Nagar, Uttar Pradesh.
